Zoho TeamInbox's enhanced and extensive deep search capabilities, allow you to find relevant information across various teams and inbox entities quickly. Whether you're looking for an email, a contact, or any specific team or personal entity, we've got you covered.
Thread view search
Search bar
This is a basic search bar which helps you find messages within your thread views. You can easily search for a specific message using a keyword and the search results will then display a list of all the messages that match your keyword.
To search,
- In your Zoho TeamInbox account, click the Search icon in the top pane.
- Enter the keyword and click Search.
Search by
When you simply type in a search keyword, you often receive an extensive list of results, some of which might not be the result you needed or relevant. So, to refine your search further, you can select these suggested filters according to your preferences. You can also select multiple inboxes and assignees from the list to refine your search. By selecting these entities, you can include them in the search criteria and retrieve relevant results. These intuitively suggested filters are designed to make it faster to find the one conversation you need.
Inbox: Filter messages based on the inbox they belong to.
Assignee: Filter messages based on the assignee.
Include Trash: Select this to include results from the trash.
Note: If you want to remove a particular entity from the filter, you can simply deselect them.
Search filters
Narrow down your search even further based on multiple criteria using filters to do a faceted search. Search filters cater to individual preferences and requirements, allowing you to customize your search experiences in multiple ways and provide you with accurate results.
In Zoho TeamInbox, click the Search icon in the top pane and, click the Filter icon in the search bar to access the following search filters.
Basics
Contains: Find search results containing specific keywords or phrases.
Subject: Filter emails or threads by their subject lines.
From: Filter messages based on the sender's email address or name.
To: Filter messages sent to a particular recipient.
Cc: Filter messages where specific individuals are cc'ed.
Inbox
Inbox name: Filter threads by the inbox they belong to.
Assignments: Filter threads by assignment status (Assigned or unassigned).
Message status: Filter threads based on their archived or unarchived status.
Tags: Filter threads based on tags applied to them.
Team mates
Assignee: Filter threads based on the assignee.
Replied by: Filter threads based on the individual who responded to them.
@mentions: Filter threads where someone is @ mentioned.
Attachments
Attachment content: Search by specific keywords or information within attachments.
Name of the attachment: Find attachments based on their file names or types.
Note: The Trash and Spam folders are not automatically included when you search by keywords. If you want to include them, select them from the filters.
Contact search
Zoho TeamInbox lets you add and manage both personal and team contacts separately within the application. You can use filters to search for contacts, you can also do a team wise contact search for shared contacts to find and access your team contacts quickly.
To search for a contact,
- In your Zoho TeamInbox account, click the Contacts icon.
- Choose My contacts or the team that you want to search for a contact under.
- Click the Search icon at the top to search for a contact.
You can filter contacts based on the following:
- Name
- Mobile number
Settings search
Setting Search allows you to search and locate any entity within Zoho TeamInbox, ensuring that you can easily customize and manage your inbox to suit your needs and preferences. You can quickly find specific settings, configuration options, or any specific entities across various sections under these settings.
To search under settings,
- In your Zoho TeamInbox account, Click the Settings icon in the top right and select More settings.
- In the search bar, search for your requirements.

To create
If you want to create anything within Zoho TeamInbox, simply use the keyword "create" in your search. The provided suggestions will display a range of settings outcomes related to the creation of various entities within Zoho TeamInbox.
For example: Let's say you want to create a rule to send an auto-reply. Instead of manually navigating through the settings menu, simply type the keyword "create" in the search bar and select "Create rule -under team". This will take you directly to the rule creation tab. This is a quick and easy way to create a new rule.
Entity search
In Zoho teamInbox, you can search for entities either by their name or by the name of the entity itself.
For example, if you're looking for a specific setting within a team, you can just type "Team" in the search bar. This will bring up a list of all the teams that you have created. You can then click on the name of the team to go straight to its detailed view.
Similarly, you can also type the team's name in the search bar. For example, searching " Zylker marketing" will prompt a suggestion to get to the detailed view of that particular team below your search bar.
Preferences
Zoho TeamInbox offers a wide range of personal preferences to enhance and tailor your experience. If you need to locate a specific preference, you can just type in the keyword and you'll be swiftly directed to it.
For example: If you want to change your notification preferences, just type in the keyword "Notifications" in the search bar. This will suggest specific settings related to notifications, select them to be taken directly to the relevant preference page.
