View and Manage Conversations

Zoho TeamInbox App's home screen has your profile,organization, conversations (including both personal and shared) contacts, create tab, and notification tab. You can change your app preferences and themes by navigating to the profile tab. You can also compose emails and create contacts, inboxes, and channels for both personal and team use. This allows for efficient communication and organization within your team.

Profile: Manage members, notifications, themes, fonts, and languages to customize your app preferences.

Conversations: View and manage your personal and team conversations from one place.

Contacts: View and manage your personal and team contacts.

Create (➕ icon): Create contacts, team, inbox, channel and internal discussions.

Personal and team conversations

When you tap on conversations, you'll be able to view your personal and group conversations, Teams, Assigned threads, Tags, and Custom views.
 

Personal Inbox

This is your personal space, which contains all your personal emails.This space is private and only visible to you, allowing you to manage and respond to your messages without external interference.
When you tap on 'Personal email', you can see the list of all the threads that are present inside the inbox under different views such as Open, Archived, Trashed, Snoozed, and Spam.

Me

This section contains all the views, that are associated with threads in your shared inboxes. If the user is a member of four inboxes, all thread views, combining these inboxes, will be displayed here.

  • Assigned to me:Every thread assigned to you is displayed in this view. Threads that are still open, meaning they have not been archived yet, will be shown under the Open view.
  • Following: All the threads that you follow will be listed under this view. Here, the threads that are open i.e., the threads that are not archived yet, will be listed under the Open view.
  • Shared with me: When you are @mentioned in the comments of any thread in an inbox that you don't belong to, it will be listed under this view.
  • Drafts: All the messages you save as draft will be listed under this view. Also, the message drafts that your teammates share with you will be listed here.
  • Sent: All the messages you send will be listed under this view.
  • Spam: All your spam emails will be listed under this view.
  • Trash: The messages that are deleted from the inboxes you belong to will be stored in this view. Only administrators can permanently delete messages from here. You can also restore messages from here to have them back in your inbox.
  • Unread: This is the global view of all your unread messages irrespective of the teams or inboxes.
  • Discussions: All your internal discussions are listed here. Tap on a specific discussion to view it. Use the archive, snooze, or tagging options to stay organized. When your teammates reply, their messages will appear under the corresponding discussion.
  • Snoozed: When you snooze a thread, it will disappear from your inbox and will be listed under this view until the snooze time you've set is over or you manually cancel the snooze.

Teams

Teams are separate spaces created to manage conversations related to a specific group of people in your organization.Under Teams, you will have the various teams that you have created in your organization and the inboxes under each team. Tapping on any of the inboxes will list all the threads that are present inside the inbox under different views such as Unassigned, Open, Archived, Trashed, Snoozed, and Spam.

Manage conversations

Once you have begun receiving all your messages in the Zoho TeamInbox app, you can carry out multiple actions. Tap open a thread under an inbox and start working  on it. Use extensions (Zoho CRM and Zoho Desk) to access information and leave comments. You can mange the thread by assigning it to yourself or team members, snoozing it, adding tags, archiving it, marking as read/unread, moving the thread to a different inbox, marking it as spam, deleting and using many other available actions.

Assigned To Others

The Assigned to others view lists all the threads assigned to your team members under their respective names. Tap on their name to see a list of all the threads they have been assigned.

Tags

Tags let you group conversations based on the topics they belong to. The tags that you or your team have created for your account will be visible in this section. Tapping on a particular tag displays all the threads listed under them.

Custom Views

Custom views provide you the option to save your favorite combination of filters in a single view. Your personal and shared custom views that you've saved will be visible in this section. Tap on a saved view to see all the threads listed under it.

Contacts

All the contacts that you have created, irrespective of the teams they belong to, will be listed in My Contacts. Below My Contacts, all your teams will be listed. Upon selecting a team, you will be able to view the contacts that have been created under them. You can also create a contact by tapping on the Plus icon.
