Integration with Zapier

Introduction

Zapier is an automation software that allows you to connect different web applications with each other, and move information between them automatically. You can now use Zapier to connect Zoho TeamInbox with other applications around the web. Connect your Zoho TeamInbox account with Zapier, set up your own Zap to build a new workflow, and automate the connection between two apps.

 

For example, you can set up a Zap such that whenever there is a new incoming email that contains the words "demo request", the sender's email address gets automatically added to your Zoho CRM.

 

A Zap is an automated workflow that you set up between tasks. A Zap is a combination of a trigger from one web app and action in another web app.
A trigger is the event that starts the Zap. An action is the event that a Zap performs after it is triggered. You can perform lots of actions with just one trigger.

 

 

Supported trigger and action for Zoho TeamInbox

Trigger - New Message

Triggers when there is a new inbound message or new inbound reply, or a new outbound message or new outbound reply.

Action - Send email

This action will send an email via Zoho TeamInbox when triggered.

 

Getting started with Zoho TeamInbox in Zapier

Log in to your Zapier account. If you don't have one yet, you can sign up to Zapier for free.

 

Creating Zap for Zoho TeamInbox

Once you connect your Zoho TeamInbox account with Zapier, you can create your own Zaps to link Zoho TeamInbox with other apps. You can use Zoho TeamInbox as the trigger app or as the action app.

 

Configuring Zoho TeamInbox as Trigger

  1. Login to your Zapier account.

  2. Click Create Zap on top of the page.

  3. Select the Trigger app. To use Zoho TeamInbox as trigger, in the search field, type Zoho TeamInbox and select the app.

  4. Select the Event you'd like to set for the Zap, from the listing. For Zoho TeamInbox, choose New Message. Click Continue.

 

  1. In case you had not connected your Zoho TeamInbox account with Zapier earlier, click Connect a new account from the drop-down box.

 

  1. Choose the region where your Zoho TeamInbox account is hosted. You can find this from the URL on the browser once you're logged into Zoho TeamInbox.

 

 

  1. Authorize Zapier to access your Zoho TeamInbox data. This will connect your Zapier account with your Zoho TeamInbox account with the required permissions. Click Accept.


 

  1. Now that you've authorized, click Continue.

  2. Set up the trigger for your Zap by selecting your organization, team, and inbox associated with your Zoho TeamInbox account.

  3. Choose the event that should trigger the app. There are four events that you can choose from.

  • Inbound message - A new message that is received.

  • Outbound message -  A new message that is sent out.

  • Inbound reply - A message that is received in an existing thread.

  • Outbound reply - A message that is sent out from an existing thread.

  1. Define the conditions that are to be met to trigger the action. You can add any number of conditions and choose if you want all the conditions to be met or just one condition to be met.

    Following are the conditions you can choose from:

  • Assignee - the thread should be assigned to the user you select.

  • From - the thread will be filtered based on the sender of the message.  

  • To - the thread will be filtered based on the receiver of the message.

  • CC - the thread will be filtered based on the people CC'ed in the message.

  • Subject contains - the thread will be filtered based on the subject line of the message.

  • Message body contains - the thread will be filtered based on the content of the message.

 

  1. The trigger that you set up is only for the inbox that you have selected. Click Continue.

 

 

  1. Click Test trigger to test the trigger that you have set.

 

 

  1. You can then proceed to set up an action with a different application.

 

Configuring Zoho TeamInbox as Action

  1. Click Create Zap on top of the page.

  2. Configure the app of your choice as the trigger and set the trigger.

  3. To use Zoho TeamInbox as action, in the apps box, type Zoho TeamInbox and select the app.

  4. Select the Event. For Zoho TeamInbox, choose Send EmailClick Continue.

 

 

  1. Choose from the already connected Zoho TeamInbox accounts or connect a new account.

  2. Set up the action by entering the details. Click Continue.

  3. Click Test & Continue to test the action that you have set.

  4. Once done, click on Publish Zap.
