Employees’ Salary Statement


The Employees’ Salary Statement report in Zoho Payroll provides a detailed breakdown of each employee’s salary components over a selected period. This report shows individual earnings and tax components, allowing you to review employee compensation in a structured and organized way.


Viewing Employees’ Salary Statement

To view your Employees’ Salary Statement report:

  1. Go to Reports on the left sidebar.
  2. Select Employees’ Salary Statement.
  3. Use the date selector at the top of the page to choose the period you wish to analyze. Options include:
    • This Week
    • This Month
    • This Quarter
    • This Year
    • Previous Week
    • Previous Month
    • Previous Quarter
    • Previous Year
    • Custom

The report will display salary data for the selected period, organized by employee and pay component.


Employees’ Salary Statement Components

The report includes the following components, presented in separate tables for Earnings and Taxes:

Component Description
Employee ID Displays the unique identifier assigned to each employee.
Employee Name Shows the name of each employee included in the report.
Regular Pay The base salary or standard pay for each employee during the period.
Over Time Pay Additional pay for hours worked beyond regular working hours.
Double Time Pay Extra pay awarded for hours worked at twice the regular rate, as applicable.
Bonus Incentive pay provided to employees, such as performance bonuses.
Commission Earnings based on sales or other targets, as part of variable compensation.
Gross Pay The total pay before any deductions, combining all earnings components.

Taxes Components

Component Description
Federal Income Tax The amount withheld from employee earnings for federal income tax obligations.
Medicare Employee contributions towards Medicare.
Michigan State Tax State tax withheld for employees in Michigan, if applicable.
FICA Federal Insurance Contributions Act tax, covering Social Security and Medicare contributions.
Net Pay The final amount paid to each employee after all deductions and taxes are subtracted from Gross Pay.

Exporting Employees’ Salary Statement

You can export the Employees’ Salary Statement report for further analysis or record-keeping. Available export formats include:

  • XLS or XLSX

To export the Employees’ Salary Statement report:

  1. Go to Reports on the left sidebar.
  2. Click Employees’ Salary Statement.
  3. Click the Export as dropdown at the top right corner of the page.
  4. Choose your preferred format for exporting.
  5. If you want to protect the exported file with a password, check the Protect this file with a password option and enter a password with at least 6 characters.
  6. Click Export to download the report.
