Tab:
Tabs are your basic HR services.Forms can be grouped and placed under tabs, which in turn can be placed on the left-hand side panel as per your needs.
Services:
Services' is a cluster of all forms, approvals, tasks and approvals associated with any service like Leave, Attendance and more. You can add a new form or move existing forms to all the services that you create.
Users:
Users are employees of your organization who have active login access to a Zoho People account, associated with your administrator account.
Employee Profiles:
Employee Profiles are inactive users who do not have active login access to Zoho People. The details of employees can be maintained as profiles this way. You can add freelancers and contract staff as Employee Profiles and manage their HR data online.
Form:
Forms are data sheets that hold key information of any service and make the base of all HR operations in Zoho People.They are of two types:
- System forms: They are master forms, available by default in the system.
- Custom forms: They are forms that can be created and customized as per your organizational requirements.
As 'Forms' contain all the sensitive information, you can have permissions set for various roles to access these forms.
Field:
Fields are individual units of a form, through which data is entered. In Zoho People, there are various types of fields like Single Line, Multi-line, Number, Formula and more.
Record:
Any entry made in a form of Zoho People is termed as a Record. From adding employees to applying for leave, every activity is added as a Record in Zoho People.
Domain:
A unique name that represents your organization, using which you can define your organization. Any Domain added to Zoho People will be followed by the verification process.
Rebranding:
Rebranding lets you create a unique login URL for your organization, in case your domain is verified by Zoho People.
Designation:
It is the official label that you give to the employees of your organization based on the nature of their work.
Roles:
Roles' define the part that an employee plays in your organization. This is different from 'Designations'. Data access permissions are based on the roles that you define while designations are used to understand more about the hierarchy of your organization.
Feeds:
Feeds serve as a collaboration platform, wherein you can post internal company messages and important announcements.
Pay Period:
Pay Period is the period you set to calculate the leave and attendance details of employees, to be utilized for payroll purposes.
Accrual:
Accrual refers to a time period that you set within which the leave entitlement that is set should be utilized.
Job:
A job is a task that can be assigned to an employee by someone in the organization. Jobs can also be assigned to self by employees. A Job contains various work items, for which time can be logged.
Project:
Projects are assignments that employees work on. Projects can be associated with Clients to track the assignments for which billing should be done to the Client. A Project is comprised of various Jobs.
Client:
Clients are customers for whom Jobs, associated with Projects are done.
Work Item:
A work item is an activity or subtask, relating to a particular Job. Work items are parts of Jobs.
Time Logs:
Time spent on each job activity(work item) recorded by an employee is called Time Logs. It is used to record the time duration of the task.
Timesheet:
A Timesheet is a group or summary of Time Logs. The Time Logs are collected to form a Timesheet and then follows the approval process. (If configured)
Goals:
One among the metrics in Zoho People to measure performance, defining goals makes long-term targets achievable. Goals can be assigned by administrators and reviewers or by employees themselves.
Skillset:
Skillsets help you measure performance and assess training needs in more narrower terms, i.e in terms of technical expertise. This can be then mapped to employees alongside Goals and KRAs, to evaluate their performance.
KRA - Key Result Areas:
KRAs or Key Result Areas are the areas of output that is expected from an employee. Defining KRAs for an employee makes it easier to gauge performance based on specific metrics.
Competencies:
Competencies refer to the qualities required for an employee to fulfil the duties as defined for his/her designation/role.
Feedback:
Feeback refers to the comments given by an employee to another employee for the work that is done. There are three types of feedback that you can set for your organization - Peer to Peer, Reporting To and 360 degrees.
Summary:
They are short notes on your employee's performances.Writing periodic summaries along the appraisal period help managers during the final performance evaluation.
Normalization:
Normalization period is the time period in which, the rating given for employees should be reviewed and finalized by the HR department.
Custom Functions:
Custom Functions are user-defined functions that help you fulfil any specific process for your organization.
Templates:
'Templates' refers to the set of tailor-made emails or letters that can be created, customized and used across various services by the HR team.
Checklist:
Checklist refers to the list of activities that should be completed for any HR process. 'Tasks' is a sub-division of checklists.
Tasks:
Tasks are work items that need to be accomplished within a specific period of time. Tasks can be assigned individually to employees or can also be added to specific forms.
Workflow:
Workflow is a list of actions that should be performed as a result of a trigger. Workflows help you automate your HR processes.
Field Updates:
Field Updates refers to the edit or update that is made in a field as a result of an action in a workflow.
Mail Alerts:
'Mail Alerts' lets you keep your employees informed of any event. You can configure a mail alert and thereby send notifications to the employees of your organization.
Case:
A case is a query or a question raised by a member of your organization which gets assigned to a case agent or a department to handle a query. An HR case is similar to a ticket raised at a service desk.
Categories:
Categories are divisions under which queries can be raised. In Zoho People's HR cases, you have certain categories available by default. You can also add new categories as per your requirements.
