Syncify developed an entire data management application in just three months!
"We didn't want to overburden our developers who were busy with developing integrations and installations for our customers. However, with Zoho Creator, we were able to launch the first version of Syncify FlowHub within three months."
- Mattias Johansson, Founder and CEO, Syncify
Summary
Syncify leveraged Zoho Creator to develop an application that seamlessly integrates data from all their existing solutions, including Zoho applications and third-party applications.
This unified reservoir of information empowers them to manage their data efficiently, support customers, and meticulously track every step of all integrations and installations for their clients.
About Syncify
Syncify, a Swedish company founded in 2016, helps organizations eliminate manual tasks by providing enterprise integration solutions with ready-made connectors for ERP, CRM, fintech banking systems, and e-sign solutions.
In addition to being an integration platform, they provide business tools, expertise, and support businesses in automating their workflows and processes to digitize their organizations.
The challenge
The company initially struggled with a scattered data landscape. They relied on separate software for CRM, project management tools like Trello, and ticketing systems.
The data entered in one solution wouldn't automatically flow to the others. For example, project updates in Trello wouldn't be reflected in the CRM, leaving the sales team unaware of details of customer interactions. Manually transferring that data was a time-consuming and tedious process that often led to errors and inconsistencies. Disconnected data hindered the ability to gain a holistic view of customer interactions and project progress. It made it difficult to analyze performance and make informed decisions.
To address these challenges, Mattias Johansson, Syncify's CEO, discussed how the company adopted Zoho One, starting with CRM, Projects, and Desk. This approach allowed them to create a cohesive system where data could flow across different tools. However, there was still a need to integrate all of these to achieve a comprehensive view of data.
This is when Syncify turned to Zoho Creator.
The solution
Syncify leveraged Zoho Creator to build a custom application called Syncify FlowHub. This solution bridged the data gap by allowing them to store and manage their logs and data. It provided detailed insights into what data had synced or encountered errors, how many times it tried to resync, the causes of failures, and a lot more.
Additionally, they used Zoho Flow to connect their data sources in Amazon Web Services with both Datadog and Zoho Creator. This ensured seamless data management and provided deeper insights.
With Syncify FlowHub, the team now has access to a comprehensive view of each customer, including their integration and installation activity and support issues. The application also provides real-time alerts for potential integration problems, allowing for activation or deactivation as needed.
Here's a look at the modules in Syncify FlowHub that effectively streamlined their operations.
Comprehensive dashboard
The Syncify FlowHub dashboard provides a detailed overview of project activities, including new integrations, new installations, and other relevant updates for the team. Each user sees information relevant to their role, allowing them to focus on the aspects most critical to their tasks.
Proactive problem detection
This module helps the team monitor all third-party system integrations, including those from Syncify's partners. It automatically captures data from these connected systems, including alerts and error messages.
These records are linked to specific customers through their unique integration ID, providing a comprehensive view of each integration's performance. This module empowers the team to gather and monitor crucial information efficiently, streamlining the integration process for their clients and ensuring timely responses to potential issues.
Customer visibility
This module captures and mirrors all customer information as soon as it is added to Syncify's internal solutions. It consolidates all relevant customer data into a single location, eliminating the need to access multiple tools and databases, thereby saving valuable time.
Real-time integration management
The Integration module, which is also the main module, provides an overview of all the integrations developed for their clients. It allows the team to update or cancel integrations directly as needed. This action automatically triggers updates across all connected solutions, ensuring fast activation and deactivation.
Clients are then notified via email and receive clear guidance on how to resolve any issues that led to the cancellation. Upon resolving the issue, Syncify can effortlessly reactivate the sync directly within the module.
Finally, the module offers live updates on synchronization status, including details about the next and previous sync cycles.
Installation tracker
The Installation module allows the team to track all client installations. It offers a list of all the installed applications, along with direct links to access client configurations. This functionality grants clear visibility into past, present, and future installations, helping manage and track the process to ensure nothing goes wrong.
Client support
The Tickets module seamlessly integrates with Zoho Desk for support tickets. Every time a client creates a ticket in Zoho Desk, it automatically populates within the Creator application.
It provides a consolidated view of all tickets, including details on ticket status (open/closed). It also grants accessibility to the Zoho Desk ticket directly from the module to view further information.
"Switching to Zoho Creator has led to a major improvement in our processes. Now, everything has been streamlined, from the moment a lead comes in through the entire launch process and customer management."
- Mattias Johansson, Founder and CEO, Syncify
Benefits and ROI
Johansson was pleased with Zoho Creator's ability to assign different roles with specific permissions within the application.
Since switching to Zoho Creator, they have been able to work more efficiently and have reduced client tickets by 70%. This transition has not only improved their operational efficiency but also enhanced their ability to provide better customer service.
Choosing the low-code path enabled them to consolidate all their information into a single tool, efficiently gathering and managing data. This has enabled greater improvement in productivity and efficiency as they were able to save time with the help of a single application.
Looking forward
Syncify is excited to develop and expand Syncify FlowHub further. Having already succeeded in streamlining its business processes and achieving significant efficiencies with the application, Syncify looks forward to enhancing these processes even more. By adding new modules, they aim to simplify operations further and drive even more improvements across its business.
"With Zoho Creator, we are now proficient at developing applications for ourselves and have also started creating applications for our clients."
