How to generate and share personalized prefilled forms in bulk using Writer's merge templates

This article explains the steps to generate and share personalized prefilled forms in bulk with multiple users to collect data and digital signatures.

Let's illustrate this scenario with an example. Say, you are an HR professional managing the candidate onboarding process. As part of the onboarding process for new employees, you will have to collect information like preferred start dates, work mode, and signatures to acknowledge company policies and fulfil any other legal requirements.

You can use Zoho Writer's Merge & share fillable link option to streamline this process. This allows you to generate a personalized onboarding form for each new employee and share it with them to collect the necessary data and signatures.

Here's a step-by-step guide to this process.

Step 1: Create a blank merge template, design the form, and add the placeholder fields you wish to prefill, such as the candidate's name, DOB, and role or designation. Note: You can also convert an existing PDF form into a merge template and share it as a fillable form.

Step 2: Connect to the data source with the new employee's information and map the relevant fields in your templates with the fields in the data source. Detailed steps for connecting a data source.

Step 3: Insert additional fields from your data source based on the details you wish to collect from new employees. For example, to get their preferred working mode, add a dropdown field. Step 4: Click Preview Merge to ensure that the candidate details are prefilled correctly.

Step 6: Click Run Merge. This will create and share personalized fillable forms for each new employee with selected fields prefilled for convenience and accuracy. You can even schedule this operation to generate and share the forms with candidates at a specific time.
