Subscription Quotes
Subscription quotes allow you to create quotes with plans, addons, and coupons. This bridges the gap between estimation and subscription creation, allowing users to create subscriptions from quotes seamlessly. This way, businesses can share pricing and other details with customers before they subscribe to a service.
Scenario: Brandon Taylor is interested in upgrading to a higher plan, but he needs approval from his team. The sales representative, John, can create a subscription quote in Zoho Billing with the required details and estimated prices, that Brandon can use to discuss with his team. Once Brandon gets the green light from his team, John can instantly turn the quote into a subscription without any extra steps, making the whole process smooth and hassle-free.
Creating Subscription Quotes
Here’s how you can create a subscription quote:
- Navigate to Sales and select Quotes.
- Click New Quote to select Create Quote for Subscription.
- Enter the necessary details and send the quote to your customer.
Customers can now view the quote in their email or the customer portal, if enabled. You can then mark the quote as accepted and create a subscription for it from Zoho Billing. Or, if the customer portal is enabled, your customer can accept, decline, or request changes before subscribing.
If you prefer to allow your clients to directly create subscriptions after accepting the quote from the Customer Portal, you can set a preference for it. Click here to know the preference you can configure to show the Create Subscription button in the Customer Portal.
Creating Quotes for Existing Subscriptions
You can create a quote for the changes made in a subscription like upgrade, downgrade, or to modify existing subscriptions. This provides transparency and clarity for customers by allowing them to be informed of updated pricing, addons, or prorated adjustments.
To create a quote for an existing subscription:
- Go to the particular subscription and click More.
- Select Create Quote at the top. You can enter the estimate details and make the necessary changes such as changing the quantity, including addons, updating the pricing, etc.
- Click Continue to preview the changes made and the corresponding charges applicable.
- Select Save and Send to send the quote to your customer.
Scenario: Brandon Taylor is currently subscribed to the Basic plan ($30/month) of Zylker cloud storage application but wants to upgrade to their Premium plan ($70/month) with an additional storage addon ($15/month).
Zylker now creates a new quote with the following details:
- New Plan: Premium = $70/month
- Addon: Additional Storage = $15/month
- Total Quote Amount: $85
The quote is then sent to Brandon for approval, who reviews the pricing details and approves the quote. Now, John can easily subscribe Brandon to their higher plan by updating the subscription based on the approved quote.
Quote to Subscription Preferences
Automatically Convert Subscription Quotes to Subscriptions
You can automatically configure subscription quotes to be converted to subscriptions without manual intervention. Here’s how:
- Go to Settings and select Quotes under Sales.
- Ensure the radio button is set at Automatically convert quotes to subscriptions and invoice customers.
Note: If a customer is not associated with a payment method, the quote will not be converted to a subscription. In these cases, you will need to create a subscription manually.
