Agivant manages its entire employee lifecycle with Zoho from day one

Agivant aims to establish a new-age tech workforce in mid-tier cities, providing opportunities to local talent and positively impacting lives. From day one, the goal was to ensure all its operations could exist online. From the CRM to HR software, all tools had to be easy to use, secure, and scalable.

We spoke to Shree Krishna Somani, Head of Business Success, to learn how and why Agivant chose Zoho over the other myriad tools on the market.

The challenge

Agivant needed to find an economical, scalable, and secure tech stack.

"When we were just in the planning stages, we wanted to have a tech stack that would help us focus on scaling the company," explains Shree. "We wanted a partner to provide a fully integrated system, from CRM and HR to finance, that our people could use to be up and running from day one," he adds.

The entire team at Agivant values real-time insights. The data layer on top of the processes was a key factor; they didn't want to step into spreadsheets and spend hours looking through data and building reports.

Data security was also a major concern for the team at Agivant. "Being a tech company ourselves, we know the value of data privacy and security in today's hyper-digital world," says Shree. "We wanted to partner with a product that took its customer's privacy and security very seriously."

The solution

When they were starting out, the Agivant team evaluated tech stacks for recruitment, HR, finance, and CRM. They wanted an affordable, easy-to-use, and secure solution that was high-performing and scalable. The chosen software would not only need to support the team in India but also in the United States. They needed solutions that worked harmoniously together.

For its recruitment needs, Agivant created a custom career site and connected its LinkedIn page to Zoho Recruit. The company monitors the complete hiring cycle through the system, which includes managing candidates and selection stages at various levels, planning interviews, and tracking feedback from the recruiters and hiring managers. Offer letters are generated in less than a minute and sent to candidates for e-signatures using the Zoho Sign integration. Agivant has also used Zoho Marketplace to integrate SpringVerify with the system for background verification checks.

Zoho People Plus delivered with ease and efficiency. The team found that the platform could support integrated processes as well as enable them to retrieve and manage employee information effectively in one place.

Zoho People's leave, attendance, and timesheet management capabilities work in tandem for Agivant. The team has set up the company's leave policies according to local regulations, while a simple and intuitive interface allows employees to easily apply for leave. Zoho People runs the entire process on auto-pilot with minimal to no dependencies. It only takes a few seconds for management to approve leave requests and track them efficiently.

With a workforce spread across India and the US, calculating attendance, paydays, and payroll was sure to be an arduous task. Agivant was able to log time from the start using Zoho People's web and mobile attendance systems. These same systems sync up automatically with Zoho Payroll for payroll processing at the end of the month.

Tracking time spent on projects also plays a key role for the tech services company. Agivant uses Zoho People Plus to set up projects, add associated clients and employees, and plan budgets. The system captures all the information; employees just have to fill in their timesheets every day, which is set for a simple approval process.

Another important solution for Agivant is payroll processing. "The self-service of payroll gets half the job done," says Shree. Employees can choose their Flexible Benefit Plans, declare their tax regimes, update their investments, and claim reimbursements by submitting receipts. Reimbursements are sent to the Finance team for validation and then added to the pay run. Setting up employee profiles, establishing salary structures, and running payroll are quick and intuitive.

"Expense management and reimbursements play an integral part of our processes," notes Shree. Every expense is set to have a receipt, which then goes to two levels of approval. If expenses are above a specified limit, they go to the CEO for approval. These reimbursements are then pushed to the payroll system. "To track expenses by employee, client, and project, Zoho Expense has been exceptionally beneficial," Shree says.

Benefits and ROI

From recruitment to exit, Zoho People Plus has given Agivant a way to host its complete employee lifecycle.

The level of customization available to Agivant makes Zoho People Plus a great match for the company. Shree explains, "While large tech systems prioritize scalability, simplicity, and security, Zoho provides all these essential features tailored to our needs. I'm confident it will sufficiently support our operations as we expand to several thousand employees globally.”

All important metrics and insights—like the number of employees, locations, organization structure, employee expense trends, payroll cost trends, and more—come in handy for management to review on a real-time basis.

Looking forward and leveraging other Zoho products

As Agivant continues to grow, it plans to continue its partnership with Zoho.

In addition to seeing great results from Zoho People plus, the company also leverages Zoho CRM to manage the entire sales funnel, client relationships, and communications. The Kanban view provides a clear visual representation of every deal's stage, allowing for efficient team collaboration and task assignment. Additionally, all client interactions are centralized within Zoho CRM, fostering a cohesive customer experience.

The integration between Zoho CRM and Zoho Campaigns empowers Agivant to execute targeted email marketing campaigns effortlessly. Team members can send regular engagement emails directly from the CRM, while Zoho automatically tracks key metrics like open rates and click-through rates. This eliminates the need to switch between applications and provides valuable insights for optimizing future campaigns.
