More with Items

There’s more to what you can do with items in the Items module than what we’ve discussed so far. You can:

Clone Items

Cloning an item allows you to make a copy of the item that already exists. You can edit it and save it as a new item. Firstly, let’s see how cloning helps David and see how you can do it.

Scenario: One of the furniture products that David popularly sells is chairs. So, David has wisely invested and has a variety of chairs made with different kinds of woods in his inventory. It is mundane and repetitive for David to create chairs as items with only the type of wood being different. So, David creates an item as chair. He clones the item, changes the wood type of the item and saves it as a new item. Thus, David saves his time and spends it productively elsewhere.

Likewise, in scenarios similar to this, you can clone the items and quickly add multiple items. To clone an item:

The cloned item will be saved as a new item.

Mark Items as Inactive or Active

Some businesses sell seasonal products that aren’t purchased during certain times of the year. You can mark such items as inactive so they won’t appear when you create a transaction. However, the item will still be available in Zoho Invoice, and you can mark it as active again later if needed.

Note: By default, all the items that you add to the Items module are active unless you mark them as inactive.

You can bulk select items that you no longer want, and mark them as inactive. To do this:

All the selected items will be marked as inactive and you cannot include them to transations. However, you will still be able to view, edit, clone and delete the item. You can mark the inactive item as active again. To do so:

Now, the items will be marked as active and you can include them to transactions.

Alternatively, you can also mark individual items as active or inactive as you prefer. To do this:

The item will be marked as active or inactive according to the action you performed.

Export Items

Zoho Invoice allows you to export the items that are present in the Items module in CSV (Comma Separated Values) or XLS (eXceL Spreadsheet) formats. To export items:

Insight: You can export a maximum of only 25,000 rows at a time. If there are more than 25,000 rows of items, you can export them with mutiple attempts.

Delete Items

In case, you’ve wrongly entered an item and do not want it in Zoho Invoice, you can delete it. To delete an item:

Alternatively, you can delete an item by selecting the item and click the More icon in the top-right corner and select Delete. Click Delete again in the pop-up to confirm your action.

Warning: Items that you delete cannot be retrieved again. Before you confirm the delete, make sure that it is an item you no longer need.

Insight: You cannot delete an item that is already used in a transaction. However, if you don’t need it anymore, you can mark the item as inactive. Learn more about marking items as inactive.
