New Preference in Policy Settings

You can now set how many days in advance a trip must be submitted for approval before the travel date. This setting is available under Policies in Settings. Once enabled, users who submit the trip after the specified timeframe will receive a warning.

Manage Unreported Advance in Trip Cancellation

If there are any unreported advances associated in a trip during cancellation, you can now either mark the entire unreported advances as void or choose to retain the advance amount for your employee's future trip. You can also void the unreported advances later from the advance's details page. This feature is available only to users for whom advance approval is required.

Configure Notification Preference for Workflow Rule

You can now set limits for your workflow actions such as email alerts, webhooks, and custom functions, and receive email alerts when the specified threshold for each workflow action is crossed. Additionally, you can choose to receive notifications when workflow action fails based on the frequency you set - such as hourly, daily, weekly, or monthly, so you can stay informed and take timely action.

The Record Advance Refund option will be displayed in Reports under the Advance and Refunds tab in My Approvals and Admin View only when the user has associated advance to a report and the reimbursement amount is negative.

Introducing Online Advance Payments [India and US Editions]

In addition to offline payments, you can now pay your employee advances online as well. Users using the India edition of Zoho Expense created under the zoho.in domain (a domain registered for use in India), can pay via ICICI, HSBC, and Yes Bank, while the US edition users can pay via ACH using the Pay Advance option on the advance details page. This feature is only available for organizations where the Paid status is enabled for advances.

Add Items in Bulk to Purchase Requests

Users can now add items to their purchase requests in bulk. They can do this by clicking the dropdown next to + Add New Row and selecting + Add Items in Bulk. Then, choose the items to include in the purchase request. Additionally, users can enter the quantity required of each item.

New Custom Approval Option in Purchase Requests

We have supported a new criterion Project Heads of Purchase Request Items in the custom approvals of the Purchase Requests module. When configured, the purchase request is submitted to the heads of the projects associated with the line items. If the line items are linked to different projects, the purchase request will be submitted to the respective project heads in the order of the line items. The purchase request will be marked as Approved after all project heads have given their approval.

• Users can now select the organization when uploading expense receipts directly from the gallery.

• For mileage expenses tracked using GPS, the start and end dates along with the time will now be displayed on the expense details page.

• We've introduced the Using Maps feature as a new method for creating mileage expenses. Users can now create a mileage expense by adding the From and To addresses, along with any additional stops. Add Mastercards in Bulk for Real-Time Feeds [US, UK, and Canada Editions]

You can now add Mastercards in bulk to Zoho Expense and fetch feeds instantly. If you couldn't add your card to Zoho Expense individually as it supports only bulk enrolment, you can now submit a request to connect the corporate cards and fetch feeds directly from the card provider by providing the necessary details, including the Bank Name, Card Provider, and Number of Cards that needs to be added and we will contact you at your email address and assist you with adding the cards.

We've introduced a new column, Available, instead of the Over Budget column. The Over Budget column showed a negative value when the actual spend was less than the budget. Now, with the Available column, a positive value will be shown when the actual spend is less than the budget.

Introducing Real-Time Feeds for Mastercard [Canada Edition]

We've now introduced Real-Time Feeds for the Canada edition of Zoho Expense. Real-time feeds are card transactions that are received directly from card networks without relying on the bank, as soon as transactions occur. Real-Time Feeds is only available for users in Canada using the Canada edition of Zoho Expense with Mastercards issued in Canada.

New Process for Per Diem Configuration

You can now configure per diem rates for multiple travel locations by fetching the latest rates as declared by your government. You can import them manually, add custom rates, or add a per diem rate for a particular location. These per diem rates will be auto-calculated based on the configuration when a user creates an expense. Germany edition

Launching the all-new Germany edition in Zoho Expense! When you select Germany as your location while creating an organization and enable VAT, Zoho Expense will preconfigure the applicable tax rates for businesses in Germany. Similarly, the mileage rates for Cars and Motorcycles as suggested by the German government will also be available by default, however, you can create your own rates for these vehicle types, based on your preference. You can also access Zoho Expense in the Deutsch language, if required.

• Zoho Expense is now compatible with iOS17 and iPadOS 17! The macOS Sonoma updates were released on September 26.

• If you've enabled VAT for your Germany edition organizations, the government tax rates will be automatically available for you and the users can apply them to their expenses. Similarly, the government's mileage rates will also be readily available to apply to your mileage expenses.

Users can now choose a delivery address while creating a purchase request. The organization's primary address will be prefilled by default. However, admins will be able to add a new address or edit the existing address.

Fetch Canadian tax rates automatically

When you create a new organization with Canada as the Location and enable Taxes, Zoho Expense will now fetch the Canadian government's tax rates and agencies automatically. Users can then apply these tax rates on their expenses. However, if you have custom tax rates, you can create them as well.

Android App Updates

Now, you can upload up to 5 receipts at a time for autoscan from third party applications. If you enter the odometer start reading to create a mileage expense and put the app to background or the phone shuts down, the next time you open the app, the odometer reading will be remembered and prefilled so that you can create a mileage expense with the same reading without having to enter it again. In the Approvals module, when you view a report PDF, you can now select a template by which you would like to view the PDF. Now create mileage expenses for Electric vehicles using your mobile app. When you create a mileage expense simply choose the fuel type as 'Electric'. Also, when you add new vehicles to your mileage policy, you can associate this new fuel type for electric vehicles.

If you’re an approver, you can now provide a reason for editing the reports submitted by other users. You can also choose to notify the users regarding the update of report details. If the receipts you’ve uploaded for autoscan have failed due to your plan limit, you can now retry autoscanning the excess receipts the following day. If you're creating an expense with a currency other than the organization's base currency, Zoho Expense will now calculate and display the value of that expense in the base currency when you create an expense. Besides uploading receipts in JPEG and PNG formats, you can now add the receipts in .doc or .docx, .xls or .xlsx, and PDF formats for autoscan.

Restrict Recalling a Submitted Report

We've introduced a setting to restrict the users from recalling a submitted report if one of the approvers in the approval flow approves the report. In an approval flow, there may be more than one designated approver to approve a report. If you enable this option, the users can't recall a report to make changes even if one approver in the approval flow approves the report. This way you could save the time and effort required to recheck the recalled reports after approval.

An all-new section, My Settings, for users to configure their preferences. Users can view their basic information and configure default values for expense and trip creation forms. While creating an expense, if you enter a new merchant, the merchant details will be saved. Later, when you create new expenses and select that merchant, the expense category will be auto-filled.
