Introducing Zoho RPA: Create software bots for high-volume automation

We're thrilled to announce the official launch of Zoho RPA—robotic process automation software designed to revolutionize automation in businesses of all sizes.

In today's fast-paced digital landscape, day-to-day manual tasks can be a bottleneck to progress. This is where Zoho RPA steps in, offering comprehensive suite automation solutions to meet diverse needs.

Zoho RPA is robotic process automation software that automates high-volume repetitive tasks, connecting cloud and legacy systems to maximize productivity. It comes with a built-in recorder that observes and replicates your actions across systems.

Why Zoho RPA over other automation methods?

While it's true that there are numerous automation technologies available on the market, Zoho RPA offers unique advantages that make it indispensable for many businesses:

Non-intrusive integration

One of Zoho RPA’s strongest advantages is its ability to automate processes without the need to modify or integrate deeply into existing systems or applications. RPA operates at the user-interface (UI) level. This allows it to work with any application—whether it’s a legacy system, a web application, or a modern enterprise tool—without requiring access to source code or significant reconfiguration.

Cross-platform and multi-application compatibility

RPA bots can interact with virtually any application, whether it's web-based, a legacy desktop system, or even systems without APIs. Zoho RPA can also work with existing tech stacks, including SAP, Salesforce, or simple Excel spreadsheets. This broad compatibility means Zoho RPA can be deployed across a variety of systems at any organization.

Ease of use & low-code development

Zoho RPA comes with a built-in recorder and low-code development environment. This makes it accessible to a broader range of users, including business analysts or citizen developers who may not have the deep technical background. Its intuitive drag-and-drop interface and built-in tasks allow users to design automation workflows without needing to write complex code.

Enhanced compliance and auditability

Since RPA bots follow predefined rules and can log every action they take, they offer better traceability and auditability for processes. This is particularly valuable for industries with stringent compliance requirements, like finance, healthcare, and pharmaceuticals. Zoho RPA can ensure that processes are executed according to regulatory standards, and its detailed logs make it easy to track and audit activities.

Key features of Zoho RPA

Windows automation

Zoho RPA bots can automate tasks that involve Windows applications such as Microsoft Outlook, Adobe Acrobat, or custom desktop software. Windows automation is especially useful for automating legacy applications or processes where APIs might not be available. You can configure bots to handle mouse and keyboard automation (click, type, scroll), pop-up windows, alerts, and other OS-level prompts.

Web automation

Web automation involves automating tasks within web browsers, such as filling out forms, scraping data, clicking links, and navigating websites. Zoho RPA can mimic human interactions with web pages, handling tasks like data entry into web applications, extracting information from web sources, or even automating online purchases and order processing. Web automation is highly beneficial for automating tasks that require frequent interaction with web-based systems, including CRM, cloud applications, and ecommerce platforms.

Excel automation

Excel automation by Zoho RPA helps in automating repetitive tasks within Microsoft Excel. This includes activities like data entry, data manipulation, formatting, report generation, and complex calculations. Bots can open, edit, and save Excel files, as well as run macros. Excel automation is particularly useful for businesses that rely heavily on spreadsheets for operations, financial reporting, and data analysis.

Files & folders automation

Files and folders automation focuses on automating tasks related to file management, such as moving, copying, renaming, and organizing files and folders. Zoho RPA can automate uploading documents to cloud storage from local file system by selecting the required files from a folder, archiving older files, or triggering actions based on file operations (e.g., when a file is updated or a new document is added). This type of automation streamlines document management, improving efficiency and reducing human error.

Triggers

Triggers are events or conditions that initiate the execution of an automation workflow. In Zoho RPA, triggers enable processes to be started automatically based on predefined criteria, eliminating the need for manual initiation. With triggers, RPA bots can be configured to respond dynamically to real-time events, improving workflow efficiency and ensuring timely execution of business processes.

Here are just a few examples of how this works:

Hotkey press trigger: This automation is activated by a hot key event. When the customer service agent presses a predefined hotkey (e.g., "Ctrl+Alt+D") after completing the call, it triggers the RPA bot to automatically start the data entry process in the CRM.

Process trigger: This automation is triggered by a process trigger that on the event of a process initiation. For example, when the available disk space of your computer drops below a set threshold (e.g., 10%), a bot can be triggered to perform a series of actions like clearing browser caches, or moves large files to an external drive.

Files & folders trigger: This automation is triggered at the event of creation or modification of a file/folder. You can configure a bot to check a specific folder for any new invoices received on the last day of each month and initiate the month-end invoice processing automatically.

Webhook trigger: The automation is initiated via a webhook trigger. This is useful where an ecommerce platform sends a webhook to Zoho RPA whenever a new order is placed.

900+ cloud app integrations

Our platform offers preconfigured connectors to over 900 cloud applications (powered by Zoho Flow), allowing you to automate processes across many departments—from HR and finance to marketing and customer support. For scenarios where out-of-the-box integrations fall short, Zoho RPA provides the flexibility even to create custom automation logic through custom functions using Deluge.

Examples of automation with Zoho RPA

Zoho RPA can be easily configured to automate a wide range of complex workflows across industries. Some examples include:

Customer onboarding & KYC in BFSI

Zoho RPA can automatically capture customer details from forms, validate documents, cross-check against databases, and ensure regulatory compliance by updating necessary records. This significantly reduces manual effort and accelerates the onboarding process. Read more about RPA for KYC here.

Healthcare claims processing and billing

RPA bots can go through data sources like patient databases and healthcare management systems, verify patient eligibility, check policy coverage, and trigger approval or rejection notifications. They can also update insurance databases and send out bills to patients or insurance companies. Read more about RPA for claims processing here.

IT system health monitoring and maintenance

RPA bots can monitor IT systems for performance issues (e.g., CPU, memory usage), generate alerts for problems (e.g., server capacity), and perform basic troubleshooting (e.g., restarting services). You can also automate patch management and schedule backups with Zoho RPA. The bots can even generate performance reports and ensure that systems comply with security standards, triggering alerts for any non-compliance.

Getting started with Zoho RPA
