Zoho WorkDrive expands its enterprise capabilities with workflow automation, data loss prevention, and more

We recently announced to our customers, partners, and press at the Zoholics Austin event a series of extensive updates. Following a 27% YoY growth in revenue and a 78% increase in migrations to our collaboration solutions, we're leaning into certain industry-specific capabilities to cater to the content management needs of modern, flexible teams.

“Companies today are working on multiple devices and networks, in and out of the office and in varying time zones, making collaboration extremely difficult and time-consuming to manage," says Raju Vegesna, Zoho's Chief Evangelist. "We've developed a tightly integrated set of collaboration tools powered by platform-layer services like AI, unified search, and process automation—all to help businesses be more productive. When people work well together, regardless of their time zone or network or device, and never once consider the technology that's driving that work—that's when we feel we've done our job." 

Our capabilities drive better business outcomes by addressing three critical drivers of seamless collaboration and productivity: AI, workflow automation, and industry-specific customization. These developments provide a unified file repository and bolster secure content management for global businesses whose employees, customers, and partners operate across various time zones.

Classify and protect sensitive data with DLP

The pandemic accelerated two important factors of work culture: the way we work and where we work from. As teams have adopted more flexible work arrangements, the risk/frequency of data loss incidents has increased. That being said, companies must keep their business data secure; with great flexibility comes great responsibility.

To help companies protect their data and enable data loss prevention (DLP), we've expanded WorkDrive's security controls with data classification features. DLP in WorkDrive aims to identify sensitive data such as personal identifiable information, customer data, financial records, and intellectual property, and to protect it from unauthorized access.

Healthcare administrators can classify documents stored in WorkDrive manually or run them through automatic checks to mark them as confidential. WorkDrive's native DLP engine then determines what action to take on the data, like whether to stop the distribution of content that's classified as confidential, alert employees when they try to download internal content that has sensitive information, or generate a report of all confidential information, among other possibilities.

In summary: DLP provides stronger security for sensitive files by preventing them from being downloaded, printed, or shared externally. This ensures that enterprises manage risks more effectively, comply with regulatory requirements, and keep their content safe from inappropriate use.

Automate your workflows

Businesses look for ways to automate processes to improve productivity and operational efficiency. WorkDrive now comes with a sophisticated workflow builder, which serves as a new way to automate routine and repeatable tasks.

Users can now build customized workflows based on their business needs by configuring states, transitions, and actions without being limited to an existing set of flows. WorkDrive also provides a range of options for file triggers, instant file actions, folder triggers, and instant folder actions, enabling users to create workflows easily. This way, companies can map, manage, and automate content-centered tasks across departments and teams and thereby reduce human errors.

Imagine a social media team working on a campaign. They have to create a lot of content and share it with leadership for approval. Manually sharing documents with all decision-makers and getting their feedback or approval can be time-consuming. With WorkDrive's workflow builder, the team can automate their review and approval process and focus on what's more important.

Integrate WorkDrive with Zoho CRM

Zoho WorkDrive will soon be tightly integrated with Zoho CRM, eliminating the need for manual file uploads and data entry. A new module called Documents will be introduced through this integration, and will provide organizations with a centralized storage repository.

For example, when a prospect is created in the CRM, documents related to that particular lead can be automatically uploaded to designated folders in WorkDrive. We aim to make WorkDrive the most effective platform to unify apps and maximize your workforce's productivity.
