How to maximize business benefits with intelligent integration & automation

Incorporating the right automation for effective business operations helps businesses manage tasks, foster collaboration, and achieve goals with clarity and efficiency. Along with necessary automation, an ideal intelligent integration that forms a cohesive solution can be adopted.

A versatile productivity platform, designed to simplify project management, collaboration, and team communication, can be integrated with a customer relationship management (CRM) platform that helps manage customer interactions and centralize customer data. This will ensure enhanced collaboration between sales and project teams, streamlined workflows, and seamless communication.

By syncing tasks, contacts, and deadlines between the two platforms, teams can improve efficiency, maintain alignment, and deliver projects on time. This helps organizations optimize resource allocation and provides better visibility into customer interactions. This, in turn, enhances project planning and facilitates data-driven decisions.

A productivity and automation tool that seamlessly integrates with Zoho CRM is the ClickUp AppiWorks extension. Here are a few tips on how businesses can make the most out of the integration, such as Zoho CRM and ClickUp Appiworks, and other such platforms.

ProTip 1: Adding a proper name description for a service in the CRM platform

Naming a service with the right descriptive title helps users quickly understand the purpose of the service and easily identify it among other services.

Additionally, a concise description provides valuable context and details about the service's function. This is essentially helpful during configurations and allows relevant people to understand the service's role and significance in the workflow where multiple services are lined up. This also eliminates confusion during data migration across platforms.

ProTip 2: Conditionally export records from CRM

Initiate conditional exporting by setting certain conditions or filters when configuring the export process, such as based on the type of record.

Imagine a scenario within an organization where tasks in Zoho CRM need to be managed across different teams in ClickUp. Team "A" in ClickUp is responsible for handling tasks that haven't commenced, while team "B" specializes in managing tasks that are currently in progress.

This objective can be accomplished by establishing two distinct services. The first service caters to team A, wherein the service configuration entails setting the condition filter to "Status" equals "Not started" and selecting the appropriate team as A. Conversely, the second service is dedicated to team B where the configuration involves setting the condition filter to "Status" equals "In Progress."

With ClickUp AppiWorks, the above-mentioned task can be automated, along with creating or updating records in Zoho CRM. Users can also manually select specific records in Zoho CRM and export them into ClickUp.

ProTip 3: Scheduling an import service

Scheduling an import service is optimal for handling larger quantities of data. Users can either schedule the import at a specific time or at intervals.

At a specific time, the service imports all the records from ClickUp at once. In the case of interval-based scheduling, choices range from monthly to hourly, or even every 30 minutes.

Note: It is crucial to activate the incremental import switch and map a date-time field, ideally 'created at,' to prevent duplicate record imports.

ProTip 4: Visualize the external data inside the CRM

Tasks assigned to a person, such as an agent, can be viewed by creating a "View" service for the Contacts module in Zoho CRM using the integration.

Filters such as "Asignee email in ClickUp task equals contacts email field in Zoho CRM" can be set to determine which data will be displayed in the dedicated widget within the contact details page, providing the relevant information at a glance.

Use the ClickUp AppiWorks extension for Zoho CRM and leverage the ProTips mentioned above to maximize your business benefits.
