We've all become part of a business environment in which myriad bytes of sensitive data that were initially shared via physical files with the word Confidential stamped on the front are now sent and received through email.
Emails can contain personal information, such as credit card and social security numbers, as well as business data like client information and design blueprints. The repercussions of confidential data falling into the hands of someone other than the intended recipient could be severe.
Is it possible to keep such emails confidential by preventing clients from forwarding, downloading, or printing the content?
The answer is yes!
Zoho Mail has rolled out a new feature called SecurePass Email that helps you securely share sensitive information via email. With this feature, you can protect your email with a passcode and an expiry date.
How does SecurePass Email work?
- You can click on the SecurePass icon next to the Send button in the compose window to protect your email with a SecurePass code.
- The information in the email is only accessible to the intended recipient when they use the SecurePass code sent to their inbox.
- The recipient cannot forward the email to others.
- They also cannot download, print, or copy and paste the email content.
- After the set expiry date, the email's contents will no longer be accessible to the recipients.
This ensures that only the intended recipients have access to your sensitive information, making it more secure and discreet.
In addition to being a HIPAA-compliant email service that strictly adheres to GDPR guidelines, SecurePass Email provides extra protection to your data when you send emails containing confidential information using Zoho Mail.

The feature is awesome! What if I want to share credentials with only one person in the "TO" list and not with the "CC" list? The existing feature allows everyone to view mail content using a passcode. Scenario: The critical document, email credentials, phone number, etc. I want to share with some other department members in "TO" and don't want the same to be accessible to other departments in "CC". Sometimes a few chain mails are like that. I hope i was able to explain the need, as I just faced this problem.

Nice new feature! ? Zoho mail keeps getting better and better. Not quite sure why there has to be a second email with a separate code - since the receiver is one and the same, could it not be done in 1 email (link)? Idea: Making SecurePass emails visible for one single view (in addition to 1 day, 1 week, …) would be great to send out passwords to clients ^?^ Thank you Zoho Team for your awesome service! ?

Hi! Thank you very much for creating this feature. It is very needed. I have tried it and I wanted to give some feedback if I may. I think it is great as is, but would be even better if it had more options. Specifically, if you could choose to send a code by text or email or just set up a password before sending. Also, if you could choose whether or not the password holder can copy, download, print before sending. Just some thoughts that would make it even better and extremely useful. As a general note, I absolutely LOVE Zoho mail! So thank you for all your work to make it the best email provider I've ever used.

Useless for me, unless the recipeint can download attachments. That would be nice.
Attachment can be provided via link inside email. That's the way how "attachments" should be done in email anyway.
Hello Peter, As of now, we don't support the download of attachments from a SecurePass email as it has been developed to prevent people apart from the intended recipient to have access to the content of the email. Hey Martin! Good day! We regret that you're facing this issue. When we checked from our end it seems that your domain has expired. You can check the same using this link. Once you activate your domain and re-verify it with Zoho Mail you should start receiving your emails without any issues. Tried the feature this morning but recipient never received an email with a passcode for the message.

Hello Cyril! Yes, if the recipient is also a Zoho Mail user. They can password protect the reply the same way it's done for a new email. If the recipient is not a Zoho Mail user the replies cannot be password protected as it's done in Zoho Mail. They can use the option provided by their email service provider to send a confidential email.

Hi Lin! Thank you so much for trying out the feature. You can password protect your replies the same way you do it for a new email. To password protect your replies, click the SecurePass icon in your reply compose window and click Apply after choosing the expiry date. Your replies will also be password protected.

Is there any option to leave out the following: "They also cannot download, print, or copy and paste the email content. After the set expiry date, the email’s contents will no longer be accessible to the recipients." What if I just want the transmission to the recipient to be secure, without imposing these extra restrictions on them??
Hello Terry! As of now, we don't have an option just to password protect the email without any restrictions. Your emails are secure at rest and transit when sent using Zoho Mail as we use TLS and S/MIME to encrypt your emails.For more information refer here. So, the password is sent to the receipient through an email? Is there no option to send it out-of-band (if the sender wants to send it through Signal or WhatsApp, etc.)?
Hello Curious! Yes, as of now, we email the passcode to the recipient. We're working on options to send it via SMS or WhatsApp, and those will be available soon.
