The Company

KOFISI is a leading provider of flexible workspaces in Africa, with a significant presence in Nairobi, Kenya. The company offers a wide range of workspace solutions, including flexible desks, private offices, and bespoke office spaces designed to cater to businesses of all sizes. With every space it offers, KOFISI works to ensure an environment that promotes productivity and innovation. Its workspaces are meticulously designed to meet the evolving needs of modern enterprises, making them the go-to choice for companies seeking a professional and inspiring workplace.In Nairobi, KOFISI operates several centers, including KOFISI Square and KOFISI Westlands. KOFISI Square is notable for its expansive 80,000 sq. ft area, which includes a variety of indoor and outdoor workspaces, a bistro, and a terrace bar. KOFISI Westlands also features a large shared office space with a rooftop cafe and fully furnished private offices, catering to teams of various sizes.

The Challenge

As a growing company, KOFISI faced challenges managing multiple business processes with disparate tools. It was difficult to maintain consistency and streamline operations across the organization. Additionally, integrating various tools to create a cohesive workflow was a complex and time-consuming process. The company experimented with various apps, like Breathe HR and Salesforce, to manage day-to-day functions, but found the solutions difficult to customize.

Data Consistency: Due to the use of separate systems, data consistency was a major issue. Each department often worked with its own version of the data, leading to discrepancies in customer information, project status, and HR records. The absence of a single source of truth created communication barriers, leading to mistakes and misunderstandings that affected productivity and decision-making.

Customization: KOFISI experimented with various tools for their business operations. However, these systems were not flexible enough to meet KOFISI's growing and evolving needs. The company struggled to modify workflows and processes, limiting its ability to optimize operations for its specific business model. As KOFISI scaled, the lack of customization became a significant bottleneck, slowing down decision-making and hampering productivity.

Operational Challenges: Managing daily tasks, tracking customer inquiries, and project management all took longer than necessary. Teams often had to switch between multiple tools to complete simple tasks, causing delays and reducing productivity. There were also significant delays in getting approvals and purchase orders, which often took two to three weeks. This hampered the company’s ability to deliver projects on time.

Employee training: Managing employee records, tracking leave requests, and handling payroll was inefficient, leading to delays. The lack of an integrated HR system also made it difficult to onboard new employees, manage training programs, and keep employee data up to date.

Cost Management: With multiple tools for different functions, managing costs became an issue. Each software came with its own subscription fees and maintenance costs, which quickly added up. This fragmented system of tools also increased administrative overhead, as KOFISI had to manage multiple vendor relationships and ensure that all systems were functioning properly. This became unsustainable as the company grew.

The Solution

Zoho One helped KOFISI overcome operational challenges by unifying various business functions within a single platform.

With Zoho CRM, KOFISI was able to seamlessly track customer data, interactions, and sales pipelines. And by integrating Zoho CRM with other applications, the company improved data consistency and streamlined communications across departments.

When it came to projects, KOFISI initially faced management challenges. Obtaining approvals and purchase orders from contractors took as long as two or three weeks. After implementing Zoho Projects, KOFISI could run up to three projects simultaneously and meet deadlines more successfully.

Handling tickets for facilities management and registering member complaints were once tedious tasks for KOFISI. After implementing Zoho Desk, it was able to use automation features to quickly assign tickets to the appropriate team members, ultimately reducing delays and improving service.

Zoho Connect significantly streamlined KOFISI's employee training process. With features such as forums, activity feeds, and document sharing, Zoho Connect ensured that all team members stayed informed and engaged. Overall, Zoho Connect helped KOFISI to enhance operational efficiency and improve team collaboration.

Zoho People provided a centralized system for managing HR activities, automating routine tasks, and enabling employee self-service for personal information updates and leave requests. Zoho People was able to plug in all the process gaps that Breathe HR had left behind, and gave KOFISI the ability to customize the app to its specific needs.
