Zoho Docs Integrates Files
Zoho Unites Documents, Spreadsheets, Presentations, More in Single Interface
SAN FRANCISCO-- Zoho today announced Zoho Docs, an online file repository and management application that integrates all of a user's private files from Zoho Writer, Zoho Sheet, Zoho Show, and other applications, making them available within a single interface.
Zoho Docs was announced at this week's Office 2.0 Conference 2008, which is being held in San Francisco on September 3-5, 2008, at the St. Regis Hotel. A gold sponsor of the conference, Zoho later today will host the Zoho Party in Vitrine, on the fourth floor of the St. Regis Hotel, from 6pm to 9pm. All conference attendees are invited.

"When users are looking for a file, they don't want to think about which application created it, they just want the information to be readily available. Zoho Docs fosters this notion of context-based work by bringing all of a user's content to a single place without having to go to any individual application. It's all about integration and providing information to our users."
Detailing Zoho Docs
Zoho Docs has a familiar, split-pane interface for creating, editing, sharing, viewing, and collaborating on files. In fact, Zoho Business users will recognize Zoho Docs as the "Documents" section of that application. The main Desktop window is flanked on the left by My Folders, My Groups, My Views, and My Tags sections, which may be expanded or collapsed. Likewise, users can resize the split panes to give more or less space to the Desktop.
Zoho Docs supports hierarchical folders as well as drag-and-drop folder management. To create a new folder in My Folders, users can either click the "+" button or right-click on the destination folder. My Folders is pre-populated with the root My Folders, Trash, Shared to Me, and Shared by Me folders. The last two folders reflect and support the collaborative nature of Zoho applications.
The root folder lists files in Zoho Writer, Zoho Sheet, and Zoho Show. Clicking on a file opens a new tab, inside Zoho Docs, which displays the file in read-only mode. The "Edit" option at the top of the new tab gives users the option of editing the document in a new window, using the appropriate Zoho application.
Right-clicking on a file in the Desktop gives users the option to open, rename, share, add a tag, move, or delete the selected file. Tagging files makes it easier for users to categorize and retrieve files for future use. Selecting "Share" lets users share a file with individuals or groups in read-only or in read/write mode. If the user has any groups created in Zoho Business, they will appear in "Group Share" option as well as in the My Groups section. On the back end, each file is shared in the application that created it; however, the process is transparent to the user.
The application lets users sort their files - in ascending or descending order - by name, created time, and date modified. Click the check box next to a file, and the context-sensitive "Actions" menu lists operations relevant to that file type. Zoho Docs integrates Zoho Chat, so users can click "Contacts" at the bottom of the screen to initiate a chat session with any of the listed users.
Beyond the Zoho application files, Zoho Docs supports multiple file formats, and users can upload any file format to Zoho Docs, including ZIP and PDF. From the Zoho Docs Desktop, users click "Upload" and a dialog box lets them select the source and destination folders. All files uploaded to Zoho Docs are scanned for viruses. When a ZIP file is extracted in Zoho Docs, the unzipped files are stored in the defined folders.
Finally, users seeking step-by-step instruction will find a link to "Getting Started," an online slideshow that walks them through activities such as creating and organizing a new folder or document, viewing and editing documents, uploading and sharing documents, extracting zip files, exporting documents to new file formats, and initiating chat sessions.
